Terms of Service

Please read these terms carefully before using our website or services.

Last updated: September 1, 2026

1. Acceptance of Terms

By accessing the Systems of Care Doc website, scheduling a consultation, or engaging our services, you agree to be bound by these Terms of Service. If you do not agree with any part of these terms, please do not use our website or services.

2. Nature of Services

Systems of Care Doc provides medical advocacy, care coordination, and liaison services. Our services include:

  • Direct physician consultations for second opinions and medical guidance.
  • Full-service medical liaison and care coordination.
  • Medical record review and organization.
  • Appointment and specialist coordination.

Important: Our services are complementary to, and do not replace, the care provided by your primary physician or treating medical team. We do not provide emergency medical care.

3. Scope of Services & Disclaimer

While Dr. Tania Mason-Eastmond is a licensed physician, our role in providing advocacy and coordination is distinct from an ongoing treating physician-patient relationship. Our services do not create a physician-patient relationship unless explicitly agreed upon in writing. We do not make diagnoses, prescribe medications, or provide emergency care through this platform.

Our guidance is informational in nature and should always be discussed with your treating medical team before making decisions about your care.

4. Scheduling & Appointments

  • Consultations are scheduled at mutually agreed times through our online scheduling system.
  • Please arrive/join promptly. If you are more than 15 minutes late, your consultation may be shortened or rescheduled.
  • We understand circumstances change. Please provide at least 24 hours' notice for cancellations or rescheduling.
  • Repeated no-shows or late cancellations may require a deposit or pre-payment for future bookings.

5. Fees & Payment

Our fees are transparent and communicated prior to booking. Payment policies include:

  • Payment is due at the time of booking unless alternative arrangements are made.
  • Payments are processed securely through our payment provider (Stripe).
  • We do not bill insurance for our advocacy services. We can provide documentation for you to submit to your insurer if applicable.
  • Fees are non-refundable for completed consultations unless otherwise agreed.

6. Cancellation & Refund Policy

  • Cancellations with 24+ hours' notice: Full refund or credit toward a future appointment.
  • Cancellations with less than 24 hours' notice: A cancellation fee of 50% of the consultation fee may apply.
  • No-shows: The full consultation fee is charged.
  • Provider-initiated changes: If we must reschedule, you will receive a full refund or alternative time at no additional charge.

7. Confidentiality

We are committed to protecting your privacy. All information shared with us during consultations, through secure communications, or via our signed service agreement is treated as confidential. Please see our Privacy Policy for more details.

8. Client Responsibilities

As a client, you agree to:

  • Provide accurate, complete, and current information about your medical situation.
  • Obtain and share relevant medical records and authorization as needed.
  • Communicate any changes to your health status or contact information.
  • Treat our staff and providers with respect and professionalism.
  • Follow through on agreed-upon action items between sessions.

11. Limitation of Liability

To the fullest extent permitted by law, Systems of Care Doc, its owner, and staff shall not be liable for any indirect, incidental, consequential, or special damages arising from the use of our website or services, except as explicitly provided in a written service agreement. Our total liability is limited to the fees paid for the specific service rendered.

12. Termination of Services

Either party may terminate the service relationship with reasonable notice. Upon termination, we will provide a summary of services rendered and any applicable refunds consistent with our cancellation policy. We may decline or discontinue services if we determine that our services are not appropriate for the situation or if the client relationship has become untenable.
